The Administrative Assistant at the Maria Mitchell Association (MMA) is a part-time, seasonal position at a vibrant and busy nonprofit organization on Nantucket Island.  The Administrative Assistant provides administrative support and general office support to the MMA. This position is from May-end of August. 8:00-11:45, Monday-Friday.

Major Responsibilities: 

  • Provides general administrative support
  • Answers telephone calls and inquiries about MMA programs and events

Specific Duties:

  • Administrative & Program Support
    • Answer telephone and greet visitors
    • Assist callers/visitors to purchase memberships and register for camps and programs
    • Facilitate scheduling and booking of Private Bird Walks and Private Open Nights
    • Provide basic information about MMA and programs to the public
    • Update office documents and templates as needed to remain current
    • Prepare and distribute information packets about MMA in response to requests from press and with local inns, hotels, and visitors’ bureau
    • Assist mailing lists from the donor database
    • Assist with mailings, including organizing and managing volunteers for stuffing and stamping envelopes
    • Assist with keeping website and online calendar up to date
    • Organize summer intern social gatherings such as orientation lunch, cookouts, and end of summer party
    • Manage Doubleknot systems in support of retail management

 

  • Office Support
    • Order office supplies and maintain inventory
    • Keep office equipment in good working order
    • Maintain tidy appearance of the general office environment including foyer, supply closet, copy room, kitchen, and bathroom
    • Sort and distribute mail

Volunteer/Liaison Activities

All employees are encouraged to promote the MMA within the Nantucket community and participate in volunteer activities that build community support.

Qualifications

  • Excellent interpersonal and group communication skills
  • Proficiency in Microsoft Word, Excel, Outlook, knowledge of Sage beneficial
  • Ablility to multi-task
  • Professional demeanor
  • Possess strong organizational skills with an attention to detail, accuracy, and neatness
  • Appreciation for the Nantucket community and its history
  • Belief in the mission of the MMA
  • Ability to work cheerfully with staff, board, members, and the general public
  • Be a self-motivated and self-directed person capable of seeing a job that needs doing and completing it with a minimum of supervision
  • Eagerness to work as a team member
  • Should not be constrained by the limitations set forth in a job description
